We are looking 0n behalf of our client for an Administration and Facilities Manager who will be responsible for the overseeing and coordinating administrative operations and managing the upkeep, maintenance and improvement of facilities.
Key Responsibilities:
- Develop and maintain administrative systems, processes, and best-practice procedures.
- Manage the office budget and monitor ongoing expenses.
- Provide administrative support for internal meetings, company events, logistics, stationery, and general office supplies.
- Oversee procurement of office supplies and equipment, preparing accurate purchase orders and contract documentation.
- Maintain and update the procurement log.
- Maintain the asset inventory, track asset movements (transfers, disposals, repairs), and provide regular asset reports.
- Manage office utilities and services, including cleaning, security, mail handling, and general provisions.
- Oversee maintenance, repairs, and upgrades of office facilities and equipment.
- Manage relationships with third-party vendors such as cleaning, security, utilities, and maintenance providers.
- Plan and coordinate office moves, renovations, and space allocation in collaboration with relevant stakeholders.
- Develop and implement sustainability and energy-efficiency initiatives.
- Ensure adherence to company policies and all relevant legal and regulatory requirements.
- Maintain health and safety standards across all facilities, ensuring compliance with applicable legislation.
- Carry out routine inspections to confirm that office spaces are clean, safe, and fully operational.
- Complete internal weekly and monthly reports accurately and within set deadlines.
Requirements:
- Bachelor’s degree in Business Administration, Facilities Management, or a related field.
- Proven experience (5+ years) in administrative and/or facilities management roles.
- Strong understanding of facilities management principles and workplace safety regulations.
- Familiarity with office management procedures and basic accounting principles.
- English essential, Spanish preferred, other languages advantageous.
