We are looking on behalf of our client for a Project Administrative Assistant/Junior Quantity Surveyor. The ideal candidate will have a background in accounting, with experience in the construction industry being a significant advantage.
Duties:
- Process payment applications and invoices for payment.
- Assist the Quantity Surveyor with their duties, including cost estimation, budgeting, and financial reporting.
- Maintain and update project documentation, ensuring all records are accurate and accessible.
- Monitor project expenses and ensure compliance with budgetary constraints.
- Prepare regular financial reports and summaries for the Project Management team.
- Support the team in administrative tasks such as scheduling meetings, preparing agendas, and taking minutes.
- Review, verify, and process invoices from contractors, suppliers, and service providers.
- Track project expenses against the budget, identify variances, and report any discrepancies to the Quantity Surveyor.
- Assist with preparing budgets, cash flows, financial reports and summaries, providing insights into project costs and financial performance.
- Develop and manage efficient filing systems for both physical and digital documents.
- Act as a point of contact between the project team, Head Office departments and external stakeholders, including contractors, suppliers, and clients.
Requirements:
- Proven experience in an administrative role, preferably within the construction industry.
- Bachelor’s degree in accounting, finance, Quantity Surveying or a related field is an advantage.
- Strong understanding of accounting principles and financial processes.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Familiarity with accounting and Quantity Surveying practices and principles.
