    This role is based in the Home Counties, UK

    To provide a first-class, confidential, efficient and effective PA service to the CEO, CFO and other key members of the Group leadership team such that they are able to focus on their key responsibilities. The post holder will have delegated authority and responsibility to act independently and handle and deliver decisions and actions.

    The role of the PA is to provide an effective organisational and operational service to Directors/Senior Managers. He/she will be required to utilise previous experience to ensure efficient PA support is provided at all times. This role will suit an experienced PA or Team Secretary, who has excellent organisational and communication skills with the ability to liaise at all levels. He/she will use initiative, requiring the minimum of supervision and organising work priorities effectively, especially as the jobholder will be providing
    administration services to more than one Director/Senior Managers.

    The role requires a flexible team player with a ‘can-do’ approach. The ability to work in a proactive and demanding role helping the Executive team to make the best use of their time

    Key Responsibilities:

    • To provide the full range of secretarial/ personal assistant services to the Directors and Senior Managers. This will include full diary management and having the authority to make changes and arrange meetings on the behalf of the Directors/Senior Managers.
    • To arrange meetings with other Managers within the company (across all jurisdictions), clients and other contacts. Arrange and draw up agendas and guest lists, and may on occasion be required to attend meetings and take minutes. The PA will also support any committees or groups, by arranging meetings, collating papers, preparing agenda, following up on actions to ensure the efficient operation of the executive team.
    • The PA is the first point of contact for all enquiries for the holding company, as well as meeting and greeting visitors if required. The PA will also be required to manage Group’s telephone screening phone calls, enquiries and requests, and handling them when appropriate.
    • To have full responsibility for mail (both electronic and paper), some of which will be highly confidential. Using discretion, he/she will progress with and take appropriate action in regard to post and in the absence of the Director/Senior Managers
    • The PA will need to make travel and accommodation arrangements for the Directors/Senior Managers within the UK and abroad. This would also include arranging visas if required and, may occasionally require travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations.
    • Maintain internal and external accounts in respect of bills, receipts and payments and may also check and record all of the Director/Senior Managers personal expenses. It will also require cost management such as negotiating corporate rates with hotels, etc.
    • Be responsible for producing a wide range of documents including letters, reports, presentation and slides, briefing papers, etc. – in many cases, compiling and collating the statistical management information to be presented at Group Board and investor level. He/she may be required to assist with specific projects, carry out background research and present findings.
    • Maintain confidential departmental staff records, sickness, and holiday and will keep a record of the Director/Senior Managers own holiday and periods of sickness.

    Qualifications:

    • Good academics including 5 GCSE’s (A* to C grade including English) – or equivalent 

    Experience:

    • Previous PA / Secretary Experience, preferably in Finance or professional services
