Head of Facilities Management

The Head of Facilities Management will cover all aspects of the office and facilities management, including reception and general administrative tasks. Previous experience as an office manager, familiarity with Health and Safety legislation, and a full driving licence are essential for this role. An HND (or equivalent) in Business Administration/Business Management would be advantageous.

Key Responsibilities:

  • Act as first point of contact and manage the reception desk, in conjunction with another colleague, to ensure the reception area and meeting rooms are always presentable for clients.
  • Support employees with the booking of meeting rooms; to ensure all visitors are pre-advised.
  • Manage the main reception line, answering basic queries and directing calls as required.
  • Manage outgoing and incoming mail (post-box/couriers/hand-deliveries), including adequate filing.
  • Support the CEO with administrative tasks, i.e., preparation of Board packs.
  • Collection of daily newspapers.
  • Procure and maintain supply of stocks and stationery.
  • Procure and maintain client gifts.
  • Address employees’ queries regarding office management issues (e.g., stationery, equipment, expenses process and travel arrangements).
  • Plan in-house and off-site activities (intern and external parties and events).
  • Management and maintenance of archives.
  • Supporting employees with travel arrangements.
  • Health and Safety Management of the office.
  • Premises Security Management.
  • Premises Maintenance.

Key Competencies:

  • Knowledge of office administration responsibilities and procedures.
  • Proficiency in MS Office (Power-point, Word, Excel and Outlook).
  • Hands-on experience with office machines (e.g., fax machines and printers).
  • Excellent time management skills and the ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent interpersonal, written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Reliability and discretion.
