Family Office Administrator / Executive Assistant

An exciting opportunity for an Executive Assistant / Office Administrator to join a small but growing single
Family Office based in Gibraltar has arisen. The role will be working alongside another PA who will primarily
look after the families’ private needs as well as the wider business team. This is a permanent role that focuses
more on the general family office environment therefore there will be elements of commercial and private
related tasks within the role.

You will act as a Gatekeeper & provide high-level support to the HNWI and his family being first point of contact.

Responsibilities:

• Coordinating busy diaries & extensive Global Travel for the family office
• Coordinating busy diaries by liaising with other EAs with regards to the HNWI’s corporate business
• Supporting the family business
• Must provide administrative support with regards to all banking functions of the family office
• Preparation of correspondence and documentation
• HR related tasks such as management & control of employment contracts, annual leave, etc
• Management & control of Family property assets (across multiple locations) & working closely with the P.A.
to ensure tasks are executed
• Monitor & control Third party contracts including renewals & negotiations
• Coordination of internal projects
• Day to day Office Management
• Controlling and managing all expenses
• Cross departmental function – carry out Private P.A related duties in the absence of the P.A.

Requirements:

• Well presented, discreet & articulate
• 3 to 5 years’ experience minimum within a similar role
• Multitasker & excellent organizational skills to prioritize multiple tasks with strong attention to detail
